Specialist I, Operation Lands

Purpose


This position is responsible for administering landowner contracts, ensuring communications to the landowners regarding payments are accurate and reflective of the lease agreements.  This role will be utilizing Pandell’s LandWorks system to make associated landowner payments as well as be a key contact for all landowner payment inquiries.   The Operations and Land Specialist is accountable for the prioritization and deployment of tasks and resources against existing operational projects with a view to land, landowner, and stakeholder success.  This role will also be required to conduct self-audits on the system to ensure compliance with the lease agreements.   This role will also need to be able to understand the lease agreements for the various projects, input the requirements into the system and then work with other internal stakeholders (Settlements, FP&A, Asset Strategy and Operations) to ensure timely payments under the agreements.

The Operations Land Specialist will prioritize, initiate, evaluate, and complete all significant steps in partnership with the Operations and Land Supervisor to ensure overall administrative contract and payment goals are accurate and on schedule. Also, Communication with landowners to provide documentation around updates to leases (due to property transfers, landowners passing away, etc.)

Accountabilities


Landowner Contract Administration:

  • Process contracts / contract changes and validate data in  the LandWorks software system to keep database current
  • Utilizing operational data and the LandWorks software package to  process regular landowner payments
  • Conduct periodic audits of landowner payments and contract reviews to ensure data entered and payment history is in adherence to agreements and that contractual obligations have been fulfilled
  • Receive and respond to landowner payment inquiries.
  • Entry of landowner data and contract terms into the LandWorks system for new projects ensuring a smooth transition from Business Development to Operations upon COD
  • Assist Accounts Payable with the distribution of tax documents for landowners


Document Preparation and Control:

  • Prepare, edit, format and quality control of documents (with hyperlinks, table of contents, table of figures and tables, appendices, references, incorporation of excel files documents, incorporating photos and graphics into documents, converting documents to pdf, etc.).
  • Prepare operational reports for internal communication between various departments
  • Process various invoices and submit for payment, as required.


Landowner Relations:

  • Receive and respond to landowner inquiries
  • Receive and respond to other stakeholders (other land agents, companies, etc.) inquiries
  • Assist in the preparation of and execution of landowner meetings
  • Prepare and distribute various landowner correspondence (notices, payment details, regular newsletter communiciations)
  • Correspond with landowners to provide documentation around updates to leases (due to property transfers, landowners passing away, etc.)
     

Education and Experience

 

  • College or professional program of 3 years or less
  • Experience with land contracts, land administration systems an asset
